MUSA Easy Mail Fast Facts

  • We complete all our mailing services at our facility in Roanoke, VA. When we're finished, we drop it off at our local post office. By doing this, we're able to offer you a great service at a very competitive price.
  • We can print any combination of your return address, mail permit and mailing list. This way, the envelopes come addressed and ready to mail at your convenience.
  • We do not mail to international addresses. We mail to all 50 states and the five U.S. territories – American Samoa, Guam, Mariana Islands, Puerto Rico and U.S. Virgin Islands.

How many full mailing services do you offer?

We offer a wide range of full mailing services. Most of our products can be mailed using our Standard or First-Class Mail services, and we do offer both 1 oz. and 2 oz. First-Class Mail prices. Our Self-Mailer products can be mailed using Standard or First-Class (1 oz.) Mail. We also offer special prices for mailing our 4.2" x 5.7" postcards.

What does your full mailing services include?

The full mail service includes actual postage cost, processing a single list, removing duplicates, CASS certification, printing return and mailing addresses onto envelopes, inserting the magnet into and sealing the envelope, packing the pieces, and delivering them to the post office.

How do I submit my return address?

Once you have placed your order for mailing services, we will send you a personalization email with a blue link at the bottom. This will take you to your order personalization web page where you will find a link to submit your mail piece information. You will also be able to submit other vital information pertaining to your mailing through this link.

How do I submit my mailing list?

Once you have placed your order for mailing services, we will send you a personalization email with a blue link at the bottom. Clicking this button will take you to your order personalization web page where you will find a link to upload your mailing list through our Mailing List Center. This program has a help section with detailed instructions on how to upload your list successfully.

What types of files will you accept for my mailing list?

If using Microsoft Excel: File extensions .xls or .xlsx are accepted. (If larger than 65,000 addresses, please contact us for assistance.) If using Comma Separated Values: File extensions .csv or .txt are accepted. Converting a list from a text file (such as Microsoft Word) is a time-consuming task, but one that we can perform. Fees start at $65, and are billed hourly at the rate of $65/hour.

Can I upload more than one mailing list?

We will only accept one mailing list per order. If your addresses are kept on multiple mailing lists, you will need to merge all of your mailing lists into a single Excel spreadsheet before uploading. When we receive two or more lists for a single order, we must merge them. There will be an $18 fee, per list, applied for this service.

How many columns should my list include?

At least three: name, street address, and one for city, state and zip code. Lists that are not formatted such as this, or in a consistent manner, have to be adjusted to be formatted the same. We recommend you do this prior to sending the list to us. However, we can perform list maintenance and clean-up tasks. Fees start at $65, and are billed hourly at the rate of $65/hour.

Will you remove undeliverable or incomplete addresses from my list?

Yes. Once you have uploaded and approved your mailing list, we will verify each address with the U.S. Postal Service. Any addresses deemed undeliverable will be removed. If you select Return Service Requested or Address Service Requested as your delivery option, we will also check your list with the USPS National Change-of-Address database. This will allow us to update addresses for your clients who have moved or who have a forwarding address on file with the USPS.

Will you remove duplicate addresses from my list?

Once you have uploaded and approved your mailing list through our Mailing List Center, we will check it for duplicate addresses and remove any that we find. We can send you a copy of the duplicate addresses we remove, if requested.

How many mailing pieces do I need for less expensive, Standard (bulk) mailing rates?

You will qualify for standard mailing rates with an order of 200 pieces or more.

Is it true that you can mail my 2 oz. product at the same Standard Mail rate as a 1 oz. product?

Yes! Standard Mail will cover mail pieces weighing up to 3.3 oz.

Do you print my return address and mailing list addresses directly on the envelope?

We print all of your information directly on the envelope. We do not print and apply labels with our mailing services. You have a choice of 4 fonts for printing envelopes.

What do the different delivery options mean?

The USPS offers a variety of services for mailing. Some of them are free, others result in fees paid AFTER the USPS has received/tried to deliver the mail. These options include:

  • OR CURRENT RESIDENT (free option) - This option will leave the mail at a particular address, even if the address has moved.
  • MARKETING MAIL (free option) - This option will NOT leave the mail at a specific address, if the addresee has moved. This results in the mail piece being discarded.
  • RETURN SERVICE REQUESTED (fee applies) - This option provides address correction services and always returns the piece.
  • ADDRESS SERVICE REQUESTED (fee applies) - Mail is forwarded if possible, or returned if forwarding is not possible. A separate notice with new address information is provided for forwarded pieces and the address-correction fee may be charged by the USPS depending on the time of address change.

Can you print and insert a letter with my mailing?

We offer 3 sizes of GiftNotes™ to accompany your mailing. For our small padded products and smaller magnets, we offer a 3.5" x 6" GiftNote™, that is printed in full color on premium, bright, lightweight glossy paper or on a premium card stock. These letters are perfect for any mailing because they fit in any size envelope. Small lightweight paper inserts only weigh .05 ounce. To accompany our magnet cards, and other products that mail in a #10 envelope, we offer Slim GiftNotes™ tht are 3.5" x 8.75", printed in full color on a cardstock paper. Finally, for our larger products that fit in a #24 envelope, we have created a Jumbo GiftNote™ on cardstock. The Jumbo measures 4.9" x 8.5".

If my mailing list is less than the amount of magnets I order, will you ship the remaining magnets to me?

We will ship any magnets that are not used in your mailing directly to you once production of your magnets is complete. We charge a minimum of $12.50 for shipping these magnets to you, but it could be more depending on the quantity of magnets we ship to you.

How will I know when my clients receive the mailing?

The U.S. Postal Service states that Standard Mail can take 10-14 business days to be delivered, while First-Class Mail can take 5-7 business days. We suggest that you put your address on your mailing list, so you know when your mailing is received by your clients. Please note, the USPS delivery times fluctuate based on the time of the year. We cannot guarantee delivery times for the Post Office.
